Automated appointment reminders: fewer no-shows

Less manual work.

Automated appointment reminders are messages your customer receives automatically before an appointment, for example a day ahead by SMS, email or WhatsApp. They're one of the simplest ways to reduce no-shows. People rarely forget appointments on purpose. A short nudge at the right moment already helps a lot.

If you work with appointments, as a salon, practice, driving school or installer, you know how costly an empty slot in the diary is. In this article you'll learn which channel to choose, when to send reminders, what to put in them and how to set them up without it turning into spam.

Why don't customers turn up?

Most no-shows have a simple cause:

  • The appointment was made a long time ago and forgotten.
  • The customer no longer knows exactly what time or where.
  • Something came up and cancelling felt like a hassle.
  • The customer was already in two minds and had no easy way to reschedule.

A good reminder tackles all of these causes: it brings the appointment to mind, gives the details and makes rescheduling or cancelling easy. You can then still fill a freed-up slot.

It also saves you work. If you currently phone or message everyone the day before yourself, that easily takes a quarter of an hour or more every day. That's time better spent on your customers themselves.

Which channel should you use for appointment reminders?

  • SMS: almost always read, works on any phone. You pay per message, so it costs a bit more.
  • Email: cheap and with room for details, such as directions or what to bring. It can end up in spam or among other mail.
  • WhatsApp: many people read it quickly. For automated business messages, though, you need the official WhatsApp Business API, with its own rules and costs. More on that in automating WhatsApp Business.
  • Push notification: handy if customers use your own app.

Many businesses combine them: a confirmation with all the details by email straight after booking, and a short reminder by SMS or WhatsApp just before the appointment.

When should you send a reminder?

There's no fixed rule, but this schedule works well for many businesses:

  • Straight after booking: a confirmation with date, time, address and a link to reschedule.
  • One to two days before: the actual reminder. There's still time to refill the slot if someone cancels.
  • Optionally a few hours before: for appointments where lateness is costly, or if the appointment is at a different location.
  • For appointments booked far in advance: an extra reminder a week before.

Don't send reminders in the middle of the night. Choose times when people pick up their phone anyway, such as during the day or early evening.

What goes into a good reminder?

Short and clear beats complete. A good reminder includes:

  • Your business name, so the customer immediately sees who the message is from.
  • The day, date and time.
  • The address, or the link if it's an online appointment.
  • Anything the customer needs to bring or prepare.
  • An easy way to reschedule or cancel, for example a link or ‘reply NO’.
  • Your cancellation policy, if you have one, in one friendly sentence.

Example: ‘Hi Sanne, your appointment at Salon Noor is tomorrow, Tuesday 14 October at 10:30. Can't make it? Reschedule or cancel via this link. See you tomorrow.’ That's all you need.

Setting up automated appointment reminders: how to do it

  • Step 1: check whether your current calendar or booking system can already send reminders. Often it's built in and just switched off.
  • Step 2: choose your channels and schedule. Start with one reminder and add more later if needed.
  • Step 3: write the texts in your own tone and test them on your own phone.
  • Step 4: make sure rescheduling and cancelling really work and are processed straight into your calendar.
  • Step 5: track your no-shows for a few months and compare with before.

If you don't yet have a system that lets customers book themselves, that's often the first step. Read more in choosing an online booking system. Would you rather have customers book through your own app? Then see having an appointment app built.

Common mistakes with appointment reminders

  • Too many messages. Three reminders for a haircut feels pushy.
  • A sender without a name, such as an unknown number or ‘noreply’. People don't trust it and ignore it.
  • A cancellation link that doesn't work on mobile, so the customer still has to phone or simply stays away.
  • Wrong times due to a time zone or daylight saving error. Test this especially around the clock change.
  • Old phone numbers and email addresses in your system. A reminder that never arrives helps nobody.

Privacy and tone: what to watch out for

An appointment reminder contains personal data, and sometimes more than you think. An SMS saying ‘your appointment for your treatment at the physiotherapist’ already reveals something about someone's health, and a phone screen can be seen by others. So keep the content as neutral as you can, especially in healthcare.

Use reminders only for the appointment itself. A reminder that ends with an offer suddenly becomes marketing, and different consent rules apply to that. For legal questions, you can turn to a lawyer or the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Smarter reminders with integrations and AI

A standard reminder is often enough. It gets more interesting when you link reminders to the rest of your work. For example: a freed-up slot is automatically offered to customers on a waiting list. Or a customer who replies with a question gets a first answer through AI, and tricky questions come to you. You can also automatically ask for a review after the appointment.

We build integrations like these through AI & automation, for businesses across the Netherlands. A project starts from €1,799 excl. VAT (€2,177 incl. VAT), one-off. Sometimes we simply recommend switching on the feature that's already in your package. That's cheaper and often enough.

Frequently asked questions

How do you send automated appointment reminders?

The easiest way is through your calendar or booking system, as many packages already have this feature. Choose a channel such as SMS or email, set when the reminder is sent and write a short text. Then test it on your own phone.

How many days in advance should you send a reminder?

For most businesses, one to two days before works well. The customer can still cancel and you can refill the slot. For appointments booked far ahead, an extra reminder a week before can help.

What works better against no-shows: SMS or email?

SMS is read more often and more quickly; email offers more room for details. That's why many businesses send a confirmation by email and a short reminder by SMS or WhatsApp. Measure for yourself what works best for your customers.

Can you send an appointment reminder via WhatsApp?

You can, but for automated business messages you need the official WhatsApp Business API. It comes with its own rules, approved message templates and costs per conversation. Customers must also have agreed to being contacted via WhatsApp.
