WhatsApp Business automation works in two ways: with the free WhatsApp Business app, which has a few simple automatic messages, or with the WhatsApp Business API, which connects WhatsApp to your own systems. With the API you can, for example, send appointment confirmations automatically, let an AI assistant answer questions and share conversations across your team.
If you get lots of messages, or want WhatsApp to work with your calendar, online store or CRM, the API is the logical next step. In this article you'll read how it works, what it costs and what to watch out for.
WhatsApp Business app or the API: what's the difference?
The WhatsApp Business app is free and runs on your phone. You can set up a greeting message, an away message and quick replies. For a freelancer (zzp'er) or small team, that's often enough.
The WhatsApp Business API, which Meta also calls the WhatsApp Business Platform, has no app of its own. It's a connection that lets software send and receive messages. That lets you do much more:
- Have several team members work on the same number at once, through a shared inbox.
- Send messages automatically from your own systems, such as an order confirmation or reminder.
- Let a chatbot or AI assistant read along and reply.
- Save conversations in your CRM or customer record.
- Use buttons and option lists in messages.
What can you automate with WhatsApp Business?
- Appointment confirmations and reminders, with a button to confirm or reschedule.
- Order updates: ordered, on its way, delivered.
- Instant answers to frequently asked questions about opening hours, prices or delivery times.
- Collecting details for a quote or repair request: type of job, address, photos.
- Catching messages outside office hours and queuing them neatly for the next morning.
- Routing a message to the right colleague based on the topic.
- Asking the customer for a review after a job is done.
An example from a repair company. A customer sends a message in the evening saying their washing machine is leaking. The assistant asks for the brand, the postcode and a photo, and suggests two possible times. The customer picks one, and the appointment goes straight into the engineer's calendar. The next morning the team sees a complete overview, without anyone having to call back for missing details.
A flow like this only works well if it stays short. Don't ask for more than you need, and let the customer say at any point that they want to talk to a person.
How does the WhatsApp Business API work?
You get access through Meta, usually via a partner who provides the technology. You connect a phone number, verify your business and set up a profile with your name and logo. Check beforehand what happens to a number you already use in the regular app.
After that, two important rules apply:
- When a customer messages you, you can reply freely within 24 hours. This is called the customer service window.
- If you want to start a conversation yourself, or the window has expired, you use a template. That's a pre-approved message with fill-in fields, such as: "Hi {name}, your appointment is on {date} at {time}."
Meta sorts templates into categories, such as utility, marketing and authentication (for example login codes). That category also determines the price.
Automating WhatsApp with AI
With a language model you can build an assistant that understands questions in plain language and answers with information from your business: prices, terms, stock or the status of an order. If the assistant can't help, it hands the conversation to a team member, with a short summary attached.
Make sure the assistant only answers based on your own information and that customers can always ask for a person. Read more about this approach in our article on AI customer service. Want the same on your website? Take a look at a chatbot on your website.
How to set up WhatsApp Business automation
- Look at which questions and messages come up most often now. Start there.
- Decide whether you only want automatic messages, or an AI assistant as well.
- Arrange access to the API and verify your business with Meta.
- Write your templates and submit them for approval.
- Connect WhatsApp to your calendar, online store or CRM, so messages contain the right details.
- Test with a small group of customers and adjust where things don't run smoothly.
- Agree who responds to conversations that the automation passes on, and when.
That connection to your own software is often the most important part of the work. Read how it fits together in getting an API integration built.
How much does the WhatsApp Business API cost?
There are three types of cost. Meta charges per message or conversation sent, depending on the type of template and the country. Replies within the customer service window are often cheap or free. On top of that, a partner or software package usually charges a monthly fee. And if you have a custom integration or AI assistant built, you pay once for the build.
Meta changes its prices and rules regularly. So treat amounts you find online as an indication and check the current price with Meta or your partner.
Rules, consent and privacy
You can only contact customers via WhatsApp if they've given consent, for example by ticking a box when booking an appointment. Also make it clear how they can unsubscribe. If you send too many unwanted messages and customers block you, Meta can restrict your number.
Customer conversations contain personal data. Explain in your privacy policy what you do with those conversations and how long you keep them. For legal questions, talk to a lawyer or the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Frequently asked questions
Can I automate WhatsApp Business without the API?
A little. In the free WhatsApp Business app you can set up a greeting message, an away message and quick replies. For integrations with your systems, a shared inbox or an AI assistant, you need the API.
Is the WhatsApp Business API free?
No. Meta charges per message or conversation, depending on the type of message and the country. You often pay a partner or software package as well. Prices change, so always check the current rates.
What is WhatsApp's 24-hour window?
When a customer sends you a message, you can reply freely for 24 hours. After that, or if you start a conversation yourself, you use a pre-approved template.
Can I just send customers a WhatsApp message?
No, you need their consent, for example through a tick box when they book or order. Also show them how to unsubscribe. For legal advice, ask a lawyer.
