Zapier vs Make vs n8n: which automation tool to pick?

Less manual work.

Zapier vs Make vs n8n: all three are workflow automation tools. They connect apps so tasks happen by themselves, such as putting a new enquiry from your website form straight into your CRM and calendar. Zapier is the easiest, Make is more flexible and often cheaper for workflows with many steps, and n8n can be self-hosted, which is handy for privacy and high volumes.

Which one fits best depends on what you want to connect, how often it happens and who will maintain it. Below we set out the differences.

What is workflow automation?

A workflow is a series of steps that always runs the same way. Workflow automation means software carries out those steps for you. It almost always follows the same pattern:

  • Trigger: something happens, such as a new email, order or form submission.
  • Actions: then steps follow, such as creating a contact, sending a message or adding a row to a spreadsheet.
  • Conditions: optionally you can add rules, such as "only if the amount is over 500 euros".

Tools like Zapier, Make and n8n are called no-code or low-code tools: you build the workflow by clicking blocks together, without programming. Want to take a broader look at which processes you can automate first? Read automating processes in SMEs.

Zapier, Make and n8n in brief

  • Zapier: the best known and easiest. You build a workflow as a list of steps one under the other. It has a huge number of ready-made integrations. Ideal for simple automations that need to work fast.
  • Make: you build workflows as a visual diagram with blocks and lines. That makes branches, loops and data editing easier. A bit more to learn, but more possibilities.
  • n8n: similar to Make in structure, but aimed more at technical users. You can use it as a cloud service or self-host it on your own server. It's also easy to add your own code and AI steps.

Zapier vs Make vs n8n compared

These are the differences that matter most in practice.

  • Ease of use: Zapier is the simplest to get started with. Make and n8n take more time to learn.
  • Number of integrations: Zapier has the most. Make has many too. With n8n you more often use a general connection through an API, the technical entry point of another app.
  • Complex workflows: Make and n8n are stronger if you need many steps, branches or data processing.
  • Costs: Zapier charges per task run, Make per operation and n8n per workflow execution. For workflows with many steps, Zapier is therefore often more expensive. When self-hosting n8n you mainly pay for the server.
  • Privacy: with Zapier and Make your data passes through their servers. With self-hosted n8n it stays on your own server.
  • Maintenance: when self-hosting, you're responsible for updates, backups and security yourself.

Pricing models and amounts change regularly. Treat everything above as an indication and check the current price on the providers' websites.

When should you choose which tool?

  • Choose Zapier if you want a few simple connections between well-known apps quickly, and want to be able to change them yourself without technical knowledge.
  • Choose Make if your workflows have more steps and rules, you have lots of runs per month and you're willing to spend some time learning.
  • Choose n8n if you work with personal data and want to keep it on your own server, if you have lots of runs, or if you want to combine AI steps and your own code.

An example: a freelancer (zzp'er) who wants new enquiries from a form added to a spreadsheet and to get an email is done quickly with Zapier. A company that syncs hundreds of orders a day between its online store, stock and accounting is often better and cheaper off with Make or n8n.

How to build your first workflow

  • Pick one task that happens often and always runs the same way.
  • Write the steps down on paper: what starts it, what should happen next?
  • Check whether the apps you use have an integration in the tool.
  • Build the workflow and test with real but harmless data.
  • Set up alerts for when the workflow fails.
  • Write down briefly what the workflow does and where it lives, so a colleague understands it later.

Pitfalls of no-code automation

  • Sprawl: after a year you have dozens of workflows and nobody knows which does what.
  • Silent failures: an integration breaks because an app changes something, and nobody notices.
  • Rising costs: with more orders or messages, the number of tasks goes up, and so does the bill.
  • Personal data: you're sending customer data through an extra service. Check whether that fits within the GDPR (AVG in Dutch) and sign a data processing agreement where needed. For legal questions, talk to a lawyer or the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
  • Depending on one person who's the only one who knows how it works.

When is custom work better than Zapier, Make or n8n?

No-code tools are strong for connecting standard apps. They hit limits when you need an integration with software that has no ready-made connector, when the logic gets complicated, or when high volumes mean speed and reliability matter. Then a custom API integration is often more stable and cheaper in the long run.

It doesn't have to be either-or. Often a mix works best: simple things in a no-code tool, and the core of your process built custom. Want to weigh up the costs and returns honestly? Read the costs and benefits of automation.

Workflow automation with Violexa

At Violexa we build automations with the tool that fits your situation: Zapier, Make, n8n or a custom integration. We don't pick the tool we like most, but the one that's simplest for you to manage. We document what we build, so you don't depend on one person. Read more at AI and automation. A project starts from €1,799 excl. VAT (€2,177 incl. VAT), one-off. Frequently asked questions

Which is better: Zapier, Make or n8n?

That depends on your situation. Zapier is easiest for simple connections. Make is more flexible and often cheaper for workflows with many steps. n8n is strong if you want to self-host or have lots of runs.

Is n8n free?

You can self-host n8n, in which case you mainly pay for the server and your time for maintenance. There's also a paid cloud service. Check the current terms and prices on the n8n website.

Is Zapier safe for customer data?

Zapier processes your data on its own servers. Check whether that fits your privacy policy and the GDPR (AVG in Dutch), and sign a data processing agreement where needed. For legal advice, ask a lawyer.

Do I need programming skills for workflow automation?

Not for simple workflows in Zapier or Make. For more complex workflows, self-hosted n8n or integrations with software that has no ready-made connector, technical knowledge does help.
