How much does an AI chatbot cost? It mainly depends on whether you choose a ready-made tool or a custom chatbot. You usually pay for a standard tool monthly, often with a limit on the number of conversations. A custom chatbot costs more to start, but fits your own systems and processes better. On top of that, you almost always pay for usage: the AI model charges per amount of text it processes.
In this article you'll read which costs are involved, what pushes the price up and how to judge whether a chatbot pays for itself. Want to know first what a chatbot can do for your website? Read a chatbot on your website.
What do you pay for with an AI chatbot?
The total cost of an AI chatbot usually consists of four parts:
- Setup: configuring the chatbot, adding the knowledge, setting the tone and putting it on your website or in WhatsApp.
- Software: a subscription to a chatbot platform, or hosting if you have your own solution built.
- Usage: the language model behind the chatbot charges per amount of text processed. More conversations mean higher costs.
- Maintenance: keeping the knowledge up to date, reading back conversations and improving answers.
Many providers only show the subscription. Always ask how usage costs are handled: are they included up to a certain limit, or do you pay extra per conversation?
Ready-made chatbot or a custom AI chatbot?
Broadly, there are two routes. The amounts below are indicative; check the current price with the provider:
- Ready-made tool: you connect your website or documents and the chatbot answers questions. Subscriptions often start at a few tens of euros a month and go up with the number of conversations and features. Quick to go live, but limited in how far you can adapt it.
- Custom chatbot: built for your processes and connected to your own systems, such as your calendar, CRM or order status. Higher one-off costs, and after that mainly usage and hosting. You decide how it works and where the data is stored.
A ready-made tool is fine if you mainly want to answer general questions. If the chatbot needs to do something, such as book an appointment, look up an order or put an enquiry into your CRM, you often end up with a custom build or an integration.
What makes an AI chatbot more expensive?
These factors decide whether you end up at the low or high end of the price range:
- Integrations: with your calendar, online shop, CRM or ticketing system. Every integration is extra build work.
- Number of conversations: more conversations mean higher usage costs or a more expensive plan.
- Channels: just your website, or also WhatsApp, Instagram or email.
- Languages: a chatbot in several languages needs extra testing and checking.
- Knowledge: a handful of frequently asked questions is quick to set up. Hundreds of documents that need sorting first take more time.
- Handover to a person: a proper handover to you or your team, with the question and context attached.
- Privacy requirements: data within the EU, limited logs, a data processing agreement.
Hidden chatbot costs
A chatbot isn't finished after launch. Also budget for these costs, often in the form of your own time:
- Keeping knowledge up to date: prices, opening hours and services change. A chatbot with old information gives wrong answers.
- Reading back conversations: especially in the first weeks you'll want to see what customers ask and where the chatbot gets it wrong.
- Rising usage costs if your chatbot becomes popular.
- Switching tools: if your knowledge is locked into a platform, moving takes time.
Keep the rules in mind as well. The EU AI Act requires people to know they're talking to an AI system, and the GDPR (AVG in Dutch) applies to all personal data that comes up in conversations. Read more in AI and the GDPR. This isn't legal advice; if in doubt, check with a lawyer or the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
How to keep AI chatbot costs low
- Start with a limited number of topics, such as opening hours, prices and delivery times. Only expand once that works well.
- Get your knowledge in order before you start. A clear FAQ page is the best foundation for a chatbot.
- Set a limit on the number of conversations or the monthly budget, so usage costs don't rise unexpectedly.
- Have the chatbot give short answers and point to the right page. That reduces the text processed and is often nicer for the customer too.
- Choose a solution that lets you take your knowledge with you if you want to switch later.
- Set aside fifteen minutes each month to read back conversations. Small improvements prevent bigger problems.
Does an AI chatbot pay for itself?
Do a simple calculation before you invest. List:
- How many questions come in each week by phone, email and WhatsApp?
- What share of those is the same question every time, such as opening hours, prices or order status?
- How many minutes does answering such a question take on average?
- How many enquiries do you miss now outside office hours?
An example with made-up numbers. If you get sixty questions a week, half of them standard, and each answer takes five minutes, you spend two and a half hours a week on repetitive work. If a chatbot takes over a large part of that, you'll quickly see whether the monthly costs outweigh your time. If you only get a few questions a week, a good FAQ page is often enough. A broader look at costs and benefits is in what automation delivers.

Frequently asked questions
How much does an AI chatbot cost per month?
With a ready-made tool you pay a subscription that often starts at a few tens of euros a month and rises with the number of conversations. With a custom chatbot you mainly pay for use of the AI model and hosting. Always check current prices with the provider.
Why do you pay per conversation for an AI chatbot?
The language model behind an AI chatbot charges per amount of text it reads and writes. So every conversation costs a little. With many conversations or long documents, those costs add up.
Can I build an AI chatbot myself for free?
There are free trials and limited free plans. For business use with your own knowledge, a proper handover and sound privacy arrangements, you usually do pay. Also count your own time for setting it up and keeping it current.
Is a chatbot cheaper than a customer service employee?
A chatbot can take over many standard questions, but it doesn't replace a person for tricky or sensitive questions. It usually works best as a helper: the chatbot handles the repetitive work, you or your team do the rest.
